TechBBQ is photographed, filmed and livestreamed across the venue. We use those recordings to document the event and to show what the Nordic startup community looks like when it gets together.

We also think you should be able to say no. If you would rather not be photographed, email info@techbbq.org before the event or tell any staff member when you arrive, and we will give you a marker that our photographers and film crews are briefed to respect.

Scope

This policy applies to everyone attending or taking part in a TechBBQ event, whether in person or online, including attendees, speakers, partners, exhibitors, volunteers and staff. It sits alongside our Terms & Conditions, our Privacy Policy and our Code of Conduct. The binding terms are in section 10 of our Terms & Conditions.

What we record, and where

TechBBQ, and photographers, film crews and other parties acting on our behalf, may take photographs and make video and audio recordings during the event. This can happen anywhere in the venue, including stage areas, session rooms, the expo floor, communal and catering areas, and at side events. Sessions on stage may be livestreamed and published in full. Areas where filming is actively in progress are marked on site.

What we use recordings for

We use them for:

• documenting the event and our own archive;
• editorial coverage, including recaps and session videos;
• marketing and promotion, on our website and event app, in newsletters and printed programmes, and on our social media and video channels;
• reporting to the partners, funders and public authorities who support the event.

Our legal basis

Personal data in these recordings is processed in accordance with our Privacy Policy. For general audience, crowd and atmosphere footage, and for recordings of stage sessions, we rely on our legitimate interest in documenting and promoting the event. Where you are individually the subject of a portrait, an interview or a similar feature, we rely on your consent, and you can withdraw it at any time.

If you do not want to be filmed or photographed

You have three routes, and you do not need to give a reason.

• Before the event. Email info@techbbq.org and we will note it against your registration.
• At the event. Tell any TechBBQ staff member, at check-in or at the info desk, and we will give you a visible marker showing you are not to be photographed. Photographers and film crews working at the event are briefed to respect it.
• After the event. Email info@techbbq.org and identify the photograph or recording. We will remove it from the channels we control without undue delay.

What we cannot promise

We will make reasonable efforts to honour your request, but we cannot guarantee that you will not appear in wide or crowd footage, in a livestream of a stage area, in a marked filming area, or in material made by other attendees, exhibitors or accredited press, which we do not control. If you take the stage, enter a marked filming area or take part in an interview, you should expect to be recorded and published.

Recordings you make yourself

You are welcome to take your own photographs and video during the event and share them on your own channels, on the conditions set out in section 11 of our Terms & Conditions. Please respect anyone wearing a no-photo marker, and note that harassing photography or recording is a breach of our Code of Conduct.

Accredited press

Accredited media work under their own editorial responsibility and their own legal basis. We ask them to respect no-photo markers, but we do not control what they publish. Requests about press material should go to the outlet concerned.

Questions and complaints

Write to info@techbbq.org. If you believe we have handled your personal data in a way that does not meet the requirements of the GDPR, you can also lodge a complaint with Datatilsynet, the Danish Data Protection Agency.
